6 Tips for Clear Communication, Part 1

As an organizational change and strategic communications expert, I understand how crucial proper communication is within an organization. Sometimes, it can be the difference between getting things done and falling behind, losing motivation and morale in the process. Whether you are preparing a presentation or writing an email, it’s important to communicate as clearly as possible so your point gets across as intended. In part 1 of this blog series, I will share 3 of my 6 tips for clear communication.

So how can you communicate better, inside and outside of the office? Here is where you can start:

1. Get the headline right- it matters!

Did you ever receive a message where the subject line wasn’t clear and so you pressed the DELETE key only to learn that it was something important you really needed to know?

What is the core message? Getting your subject line right is crucial to being understood. It can be the difference between someone reading or deleting your message. Be clear and concise.

2. Consider what is being communicated and WHY

Have you ever lost interest in reading a message because it took too long to get to the point? Or, you didn’t understand why the communication mattered to you? This is what I call the “so what?” element of a communication. As a communicator, it is important to get “under the covers” of a message. You need to make the communication interesting and relevant. It is time to follow your “inner reporter” – become curious; this is the right time to ask lots of questions. Stop and think about why and what is being communicated; both the intended and unintended messages. Consider the message from the recipient’s perspective; how does it sound now?

3. Is your message tied to the company’s strategic direction?

If you have received a message that seemed disconnected from your company’s vision in the past, you know how confusing it can be. When developing your message, make sure it is relevant. This helps to keep people aligned around a common purpose and also reminds everyone where the company is going and how it will get there.

As you consider all of these tips you’ll want to make sure that you involve the right team members and get approval from the appropriate leaders. Understanding and following internal processes and procedures will help ensure your success.
